Buyer Consultation Training for Realtors
A buyer consultation is the first real meeting with a buyer, before you show a single home. It is where you learn what they want, explain how buying works, agree in writing on how you will work together, and set the next steps. Done well, it turns a lead into a committed client. At Medway Realty, buyer consultations are part of the Sales pillar of our real estate agent coaching program, available to every agent on every plan.
Why the buyer consultation matters in year one
New agents do not get many chances. According to the NAR 2026 Member Profile, agents with two years or less of experience had a median of 2 transaction sides and $8,000 in gross income, while the typical member had 13 years of experience and 9 sides. When every buyer counts, the consultation is where you earn their trust and their commitment.
It also matters for compliance. Since August 17, 2024, MLS participants working with buyers must have a written agreement with the buyer before touring a home. The consultation is the natural place to explain that agreement, your services and how you are paid.
What a buyer consultation should cover
- Goals and timeline: why they are buying, and when they need to move.
- Financing: pre-approval status, lender, budget and cash for closing.
- Must-haves vs nice-to-haves: the few things that decide yes or no.
- Areas: which parts of Sarasota, Manatee or Charlotte County fit their life and budget.
- The buying process: search, showings, offers, inspections, appraisal and closing.
- The written buyer agreement: what you will do, how you are paid, and that terms are negotiable.
- Communication: how and how often you will stay in touch.
A simple 5-step consultation structure
- Prepare. Review what you already know about the buyer, pull a few sample listings in their range, and have your brokerage’s approved forms ready.
- Set the agenda. Tell them what you will cover and how long it will take, so they know this meeting has a purpose.
- Discover. Ask questions and listen more than you talk. Write down their words, not your interpretation.
- Educate and agree. Walk through the process, explain the written buyer agreement and answer questions until they are comfortable signing.
- Set next steps. Confirm financing, the search criteria, the first showing date and how you will communicate.
Questions to ask every buyer
- What is making you want to buy now?
- When would you ideally like to be moved in?
- Have you spoken with a lender, and are you pre-approved?
- What monthly payment are you comfortable with?
- Which areas are you considering, and why?
- What are the three things your next home must have?
- What would make you walk away from a home?
- Who else is involved in this decision?
The written buyer agreement conversation
Many new agents rush or skip this part because it feels awkward. Treat it as part of your value. Explain what you will do for the buyer, how you will be paid, and that compensation is not set by law and is negotiable. Use only your brokerage’s approved forms, and ask your broker about current Florida and MLS rules before your first consultation. Buyers are more comfortable signing when they understand exactly what they are getting.
Common buyer consultation mistakes
- Showing homes before the consultation and the written agreement.
- Talking more than the buyer does.
- Skipping the financing conversation.
- Treating the buyer agreement as paperwork instead of explaining it.
- Leaving without a clear next step and a date.

Buyer consultation FAQ
A buyer consultation is a meeting between an agent and a buyer before any showings. The agent learns the buyer’s goals, budget and timeline, explains the buying process, and agrees in writing on how they will work together.
Since August 17, 2024, MLS participants working with buyers must have a written agreement with the buyer before touring a home, in person or live virtually. Ask your broker about the forms and Florida rules that apply to you.
There is no fixed rule. Plan enough time to cover goals, financing, the process and the written agreement without rushing, and tell the buyer up front how long you expect it to take.
In person builds the most trust, but a video call works when the buyer is out of the area or short on time. What matters is covering the same agenda either way.
Yes. Buyer consultations are part of the Sales pillar of Medway’s coaching, which is included on every plan at zero cost and always available, never required. Team agents also get additional one-on-one and small group sessions.
